Key Responsibilities
Vendor Management:
- Identify, evaluate, and negotiate with suppliers to secure the best quality, pricing, and terms.
- Maintain and update a database of approved vendors and suppliers.
- Build and maintain strong relationships with vendors to ensure reliability and cost efficiency.
- Purchasing & Order Management:
- Compare and analyze quotations to achieve the best value for the company.
- Process purchase requests and create purchase orders in a timely manner.
Ensure all purchases comply with company policies and budgets.
- Track and monitor delivery schedules to ensure timely receipt of goods.
- Ensure that purchased goods and services meet required quality standards.
- Monitor procurement expenses and contribute to cost-saving initiatives.
Inventory & Stock Opname:
- Stock opname for consumable and non-consumable items across all branches.
- Update inventory records and ensure accuracy in stock data.
- Work closely with branch teams to ensure proper stock allocation and replenishment.
- Control stock movement across branches, ensuring physical equipment and inventory align with historical procurement records. Including identifying and resolving discrepancies between physical stock, procurement history, and system records.
Documentation & Reporting
- Maintain accurate procurement records, including contracts, purchase orders, and invoices.
- Prepare regular procurement reports for management review.
- Ensure compliance with internal control procedures and external regulations.
Requirements
- Bachelor’s degree in Business Administration, Supply Chain, Finance, or related field.
- Minimum 1–3 years of experience in procurement, purchasing, or supply chain (fresh graduates may be considered for entry-level)
- Experience in vendor negotiation, contract management, and exposure to equipment sourcing and procurement best practices is an advantage.
- High integrity and accountability.
- Strong negotiation and communication skills.
- High attention to detail and accuracy in documentation, and multitasking ability
- Proficient in Microsoft Office/Google Workspace (Excel/Sheets required).
- Experience in using NetSuite or other ERP software is a plus
- Proactive and results-driven.
- Ability to manage multiple tasks and work under tight deadlines.
- Willingness to learn and adapt in a fast-paced environment.
