Purpose of The Position:
To support day-to-day HR operations and ensure accurate, timely, and compliant execution of People-related administrative processes. This role is critical in maintaining organized records, supporting employee lifecycle activities, and contributing to a smooth and efficient People Operations function.
Main Job Responsibilities:
Manage and oversee employment contract renewals, extensions, and related documentation
Act as the PIC for maintaining HR documentation related to employee agreements, contract renewals, probation assessments, and performance reviews
Maintain and update physical and digital HR documentation including contracts, policies, employee handbooks, and other essential records
Support disciplinary documentation and administration
Provide administrative assistance during internal audits or reviews
Perform other additional administrative tasks to support HR Operations
Assist in onboarding and offboarding processes, including checklist management, calendar coordination, and employee personal file documentation
Support PIP (Performance Improvement Plan) administration and tracking
Maintain and track Career Development Plan (CDP) & Learning & Development (L&D) documentation
Manage scheduling, notifications, and documentation for probation and performance review processes
Maintain and update employee records in HR systems and master data, ensuring accuracy and confidentiality
Manage employee master data updates related to employee movements, promotions, and other organizational changes
Monitor and administer employee presence, absence, leave, and attendance tracking systems
Collect, organize, and manage HR-related data for reporting or process improvements
Respond to employee inquiries regarding HR administrative matters, especially related to agreements, performance reviews, and related documentation
Act as a point of contact for internal coordination regarding employee data, assessments, and documentation flow
Requirement & Qualifications:
Minimum Bachelor's degree (S1) in Human Resources, Psychology, Business Administration, or a related field
1–2 years of relevant experience in HR Operations or Administration preferred; fresh graduates with strong internship experience are welcome to apply
Detail-oriented with excellent organizational and time management skills
High level of integrity and ability to handle confidential and sensitive information with professionalism
Good understanding of basic HR functions
Proficient in Google Workspace (Docs, Sheets, Drive, Calendar, etc.); familiarity with HRIS or other administrative tools is a plus
Able to work with formulas such as VLOOKUP, HLOOKUP, IF, Pivot Tables, and other data functions in Google Sheets / Microsoft Excel
Strong communication and interpersonal skills, with the ability to collaborate effectively across departments
Able to work independently and as part of a team in a dynamic, fast-paced environment
Proficient in written and spoken English for internal communication and documentation
